I thought I would share with you the best apps for small businesses.
I know a business owner who, up until recently, was using spreadsheets to manage staff payments! Thankfully they now use an accounting app and saves hours every week.
So, what time saving apps could you be using that you’re not?
Here are the best apps for business owners.
You probably already use one of these accounting apps, and for good reason. They make tracking hours, sending invoices or logging receipts so easy.
View customer information, send invoices, capture photos of expense receipts, add notes and more with the QuickBooks app.
Prices start from from $7.50 AUD / month for small businesses and include a free 30 day trial.
Similar to QuickBooks, Xero lets you can reconcile, send invoices, and record bills/receipts and much more.
Prices start from $25 AUD / month.
This app lets you track your receipts and manage expenses on the go. Just take a photo of your receipt and Expensify will automatically transcribe the details. There is also mileage and GPS tracking.
Expensify is free and can be integrated with QuickBooks, Xero and other accounting apps.
Once upon a time the only way to accept payments from customers was via a cash register at your store or you could wait for a cheque by mail. Today, customers can pay you no matter where you are and paying is as easy as tapping a card.
Square Point of Sale
Square lets you accept tap-and-go payments and chip cards anywhere as long as you have the Square Reader for contactless and chip ($59 AUD).
They also have a reader for chip cards ($19) that plugs into the jack of your iPad or smartphone so you can accept payments when you’re offsite. This is great for tradespeople.
Payments are deposited into your account within 1-2 days but a fee of 1.9% applies to each payment.
Similar to Square, PayPal Here lets you accept payments on the go using their contactless chip reader ($149 AUD). You can also invoice customers from the app. A fee of 1.95% applies to each payment.
File Management & Sharing Apps
If you’re already using Gmail for email, then it makes sense to choose Google Drive as your file storage option. Stored securely in the cloud, you can access all your documents from any smartphone, tablet or computer.
Easily invite others to view, edit or leave comments. You can also have files download to your personal computer so you can access and edit files offline.
Google Drive is free up to 15GB of storage.
Similar to Google Drive, Dropbox securely stores all your documents so you can access and edit them from any device.
You can easily share files with others and there is a cool collaboration tool called Paper, a free product from Dropbox, that lets your team edit, brainstorm, review designs, assign to-do’s and more.
Dropbox is free up to 2GB storage. Dropbox for business starts from $17.50 AUD per month for up to 2TB of storage.
This is a fantastic app if you travel a lot. As soon as you book a flight, hotel, car or other reservation, simply forward it to email@example.com and they instantly create a master itinerary and map view of all your plans.
This allows for all your trip information to be stored in one location, saving you the stress of checking your emails to know the time of your flight, the address of your hotel or what time you need to check out.
TripIt is free, although there is a pro version that offers more features for $49 USD a year.
Signing a document use to mean printing the document, signing, and then scanning it. But with HelloSign you can use your phone or iPad to scan a document, create a signature with your fingertip and send the document via email. HelloSign is free.
Internal Communication Apps
Gone are the days when communicating with your team meant picking up the phone and dialing the person’s internal #pin number. Now you can message directly or group message, making communication and collaboration easy.
Slack brings team communication and collaboration into one place so you can get more work done. Direct message other team members, create private channels and group chats.
For example, here at Cammy we have a channel for general company announcements, and other channels such as #Marketing where team members collaborate.
You can also make phone and video calls while public API’s let you automate notifications from other platforms such as Salesforce.
Slack is free.
Project Management Apps
Basecamp allows you to track to-dos, post updates to a message board, group chat, schedule deadlines and milestones, upload docs and files and create automatic check-ins to get insights from the team on a regular basis.
Pricing is $99 USD / month with unlimited users.
LastPass is a password manager that securely stores your passwords and personal information in a secure vault. As you visit apps and sites, LastPass autofills your login credentials. You only need to remember one master password and LastPass does the rest.
This is my preferred podcast app. Podcasts are great because you can listen to them while you drive, when you’re eating lunch or working out at the gym. Whether you want to be inspired, educated or entertained, podcasts are have something for everyone. Here are the best podcasts for business owners.
